Be sure to set up a website and update it regularly.  I co-chaired the 
Morgan 3-wheeler gathering at last year's Put-in-Bay races and it was a 
lot easier to just tell everyone up front to go to the website for 
registration forms, hotel information, maps, etc. and that there will be 
an FAQ which will be added to as new questions have arisen.  Dress it up 
with a few pictures and links to the track, local accommodations and 
attractions, Google Maps, etc.  You could put an entry list there too 
and make sure everyone knows that the website is the bulletin board for 
event information.  It won't keep people from contacting you and you 
will still have to contact some folks about this and that but I think my 
website (created by simply adding a few pages to our existing farm 
website) cut down our workload a bit.  Make sure the event organizers 
include a link to your website in all of their communications about that 
race weekend and elicit their feedback on the information you're putting 
on the website -- you might find that the track owners or the race club 
already has a website with a lot of this information on it.
